Article Processing Workflow
End-to-end steps from acceptance to indexing and distribution for journal articles.
-
Acceptance Notification
The editorial office sends the official acceptance notice to the corresponding author.
-
Copyright Transfer
- Authors sign a copyright agreement.
- This ensures the journal has the legal right to publish and distribute the article.
-
Manuscript Formatting
- Decide on journal formatting style: font, margins, referencing style, section headings, etc.
- Professional formatting: an expert formats the MS Word document to fit the journal style.
- Page numbers and layout adjustments are added for print and digital readability.
- Save as PDF: a PDF version of the formatted manuscript is created for internal review.
- XML format conversion (optional): required for online display/machine-readable content. Not needed if PDFs only are hosted.
-
Proof Preparation (Galley Proofs)
- The print-ready PDF (galley proof) is generated.
- Includes typesetting adjustments, figure placement, tables, and layout.
- Sent to the corresponding author for review.
-
Author Proof Review & Corrections
- Author reviews proof for typos, formatting issues, and minor corrections.
- Minor corrections must be submitted within 48–72 hours.
- Major changes (rewriting, adding new data) are not allowed.
- Final author approval is given once corrections are made.
-
Final Proof Approval & Language Editing
- Editorial and production team approve the final proof.
- Manuscript sent for professional language editing (if required).
- If changes are made during editing, authors may need to approve again.
-
DOI Assignment
- Each article is assigned a DOI for permanent digital tracking.
- Decision Point: If DOI registration is not yet set up, the journal must register with Crossref or another DOI provider.
-
Indexing & Metadata Submission
- Metadata (author details, abstract, keywords) submitted to indexing databases (Google Scholar, DOAJ, PubMed, Scopus, Web of Science).
- Ensure indexing partnerships are in place before publication.
-
Print Issue Compilation & Distribution
- Finalized articles compiled into a print issue with assigned page numbers.
- The entire issue is sent for printing and distribution.
- PDF versions of articles are uploaded online.
